Question: Our office is closed on Ganesh Chathurthi. I don't want calls to come to our agents on that day. How do I handle this?
Option 1: Voicemail
You will need the app builder app for this. You are going to now create an easy Call flow that will wish your customers and then either hangup or take a voicemail.
Create a new call Flow and name it, perhaps, "Company Closed":
Drag & Drop the Voicemail applet & type out a relevant message to keep your customer informed. Click on "Get this text recorded" and the "Save" button so that until the Voice over recording is done or in case it gets delayed, atleast an automated message will play. And then drag drop the Email applet and put in your Customer support email address which would create a ticket in your support system:
Now test that this flow is working properly by assigning it to the trial number:
Once you are satisfied that everything is working fine, Assign the app to your support virtual number.
Option 2: Using Happy Hours App
Unselect the day when you are closed. All the way down in the option that says "If the person calls during closed hours...", Change the recording to inform him that you are closed because of a holiday. Setup a reminder in your calendar to change the recording as soon as you come in to office after the holiday.
Option 3: Inform & Hangup
If you just want to inform the user about your company closure, then use the "Greeting" applet followed by a "Hangup". Additionally, consider sending him an SMS with the date & time when your company will be open next so that he can call.
